Three dispatch bottlenecks that slow down event teams
Corporate event managers, conference producers and DMCs coordinating 10 to 80 chauffeur-driven MPVs often run into the same operational friction when relying on static spreadsheets and scattered messaging groups:
1. Constant manifest and flight changes
Speakers rebook flights, delegates add companions, and dinner transfers shift by 30 minutes. Once two spreadsheet versions diverge, a car ends up at the wrong terminal or hotel entrance.
2. Chasing driver names and plate numbers
On event morning, staff spend hours copying driver mobile numbers and vehicle plates across chat groups instead of focusing on guest reception.
3. Cross-border & multi-venue complexity
Greater Bay Area programmes frequently combine HKIA arrivals, HKCEC or AsiaWorld-Expo shuttles, HZMB crossings to Macau Cotai resorts, and Shenzhen Bay transfers to Qianhai.
How the Mayline Event Chauffeur Command Desk workflow operates
For multi-car, multi-day and multi-wave programmes, Mayline replaces fragmented messages with a structured dispatch workflow:
| Stage | Spreadsheets & ad-hoc chat groups | Mayline Event Command Desk workflow |
|---|---|---|
| Planning & quoting | Manual row-by-row rate checks over email | Structured wave & schedule planning using seven-seat luxury MPVs (up to 6 passengers per car) with a consolidated project quote |
| Flight tracking & waiting | Staff manually checking flight apps and calling drivers | Airport pickups track the flight number, adjust to actual landing and include 60 minutes of free waiting (30 minutes on other point-to-point transfers) |
| Driver & plate assignment | Copy-pasting plate numbers into separate messages | Driver name, phone number and vehicle plate appear on the order page and in the chat no later than 1 hour before pickup |
| Live communication | Messages buried in noisy group chats | Order chat replies within five minutes, round-the-clock; the assigned driver joins the same chat and multilingual translation is supported |
| Post-event billing | Reconciling dozens of paper receipts after the event | Automatic invoice after each completed trip; partners with a written agreement can use monthly billing and export monthly statements by currency (CSV) |
Built for summits, roadshows and cross-border hospitality
- Investor summits and financial roadshows: Coordinate airport arrivals at HKIA, hotel check-ins in Central or Admiralty, and hourly chauffeur hire (4 hours minimum, 4–14 hours) for back-to-back meetings.
- HKCEC and AsiaWorld-Expo exhibitions: Schedule timed arrival and departure waves between official hotels and exhibition halls.
- Hong Kong–Macau and Greater Bay Area twin-city events: Move speakers and guests door to door across the Hong Kong–Zhuhai–Macao Bridge to Cotai integrated resorts, or across Shenzhen Bay and Hengqin ports into Guangdong.
How to brief us on your upcoming event
You do not need a final guest list to get started. Visit Event & Conference Transport or open the Partner Enquiry Form with your event dates, venues, estimated vehicle count and service windows, and our team will prepare a tailored transport plan and project quote.
Frequently asked questions
Can we request an event transport quote before our final guest list and flight numbers are locked?
Yes. Share your event dates, primary venues (airports, hotels, exhibition halls), estimated car count and service windows first. We will prepare a project quote and capacity plan, and you can supply individual flight numbers and guest names closer to the event.
What happens if a speaker’s flight is delayed or a dinner transfer shifts on the day?
Airport pickups track the flight and include 60 minutes of free waiting from actual landing. For schedule changes during the event, your coordinator can message us in the order chat—we reply within five minutes, round-the-clock, and coordinate directly with the assigned drivers.
Can we consolidate billing for all cars booked under one event or corporate account?
Every completed trip generates an automatic invoice. Organisations with a written partnership agreement can also get a web portal login for central booking management and monthly statements by currency with CSV download.
